1. LINC Coordinator / Supervisor (Full-time)

Position Summary: Administration and coordination of the LINC department.
Primary Duties and Responsibilities:
Program Planning:
 Oversee LINC program planning, development and delivery
 PBLA implementation and monitoring
 Conduct activities related to the measurement of program outcomes
 Develop and implement outcome measures for program improvement and service enhancement
 Ensure program delivery in accordance with established standards and guidelines, including LINC Curriculum Guidelines, Canadian Language Benchmarks, PBLA Practice Guidelines, and iCare reporting guidelines
 Request Interpreters when needed
 Book all class field trips
 Book travel arrangement as required for field trips.
 Manage the involvement of groups requesting access to LINC program –i.e.: Nursing student, practicum students.
 Assist with coordination of informational presentations from SISA staff and community partners
 Create and distribute LINC Monthly Activity Calendar
Leadership and Supervision:
 Identify skills gaps, and recommend appropriate professional development activities
 Provide information, logistical support, pedagogical information and language acquisition expertise to instructional staff
 Arrange for substitute teachers, and be on standby to teach if a substitute is unavailable
 Participate in monthly Team Meetings, Staff Meetings, Manager Meetings
 Empower employees to take responsibility for their jobs and goals
 Delegate responsibility to LINC staff and expect accountability and regular feedback
 Lead employees to meet the organization’s expectations for productivity, quality and goal accomplishment
 Provide effective performance feedback through employee recognition and disciplinary action with the assistance of Human Resources when necessary
Student Support Operations:
 Assist with student’s placement in appropriate level
 Provide assistance to day-to-day student’s issues
 Student intake and referral operations
 Delivery of LINC Orientation including LINC Attendance Policy and LINC Code of Conduct, LINC Harassment Policy and tour of LINC building orientation for new students.
 Provision of student letters of enrollment confirmation, class promotion, class exit or warning letters due to policy infringements.
 Maintenance of client coffee: includes purchasing of coffee, maintaining cleaning schedule and money collection.
 Assist with settlement / programming services when required.
 Record Keeping and Reporting:
 Maintain accessible and appropriate records and statistics for all LINC programs and projects
 Statistical and narrative reporting for iCare and internal SISA database
 Collect and report student attendance
 Compile information for monthly reporting to SISA & IRCC
 Maintain records for student progress in LINC and PBLA Interview reporting
 Input information into SISA Database and iCare
 Provide other SISA managers with information for statistical reporting requirements
 Report student attendance/progress to Alberta Works when requested
 Maintain an open communication with the LINC department
 Notifying clerical assistant of supply purchases
 Notifying Executive Director of teacher resource requirements or capital asset requirements for approval and purchase
 Maintain inventory of teaching materials
 Conduct inventory check annually
Health and Safety:
 Adhere to SISA emergency and fire alarm procedures
 Apply health and safety regulations and policies
 Maintain a safe working environment
 Ensure classes are conducted in a safe, efficient manner
Accountability:
 Adherence to policies and regulations of S.I.S.A.
 Accurate and timely reporting.
 Performance appraisal and on-going quality control by the ED.
Suitability:
 Experience and Training (Portfolio-Based Language Assessment (PBLA) training & ESL teaching background is required)

2. R.A.P. Enhancing Life Skills Worker - (20 hours/week)

Primary Duties and Responsibilities

Office Administration

  • Record and report every service provided and time spent with each client on the weekly and monthly reports and stats sheet.
  • Continue to revise the settlement manual of Life Skills sessions according to clients’ needs.
  • Attend professional development workshops and conferences as per Management’s request.
  • Provide monthly reports to the Manager of Settlement.

 

Settlement Services

  • Assist clients upon arrival, (enhancing for programming is in the first 6 weeks of settlement).
  • Home visit to clients within the first 6 weeks after arrival to determine life skills issues and needs as related to adaptation to Canadian society. This service can be extended post 6 weeks if we are dealing with high needs clients.
  • Follow the progress of high need families with increased home visits and life skills instruction to assist them during the adaptation period.
  • Assist Manager of Settlement with client requests (medical and dental appointments and general questions about daily life).

Community

  • Work in partnership with other SISA departments, community agencies, and other service providers related to the settlement process.
  • Maintain and enhance positive partnering with fellow agencies.
  • Establish and maintain good relationships with local landlords and other housing authorities.
  • Make recommendations and facilitate changes/growth of the program.

Other

  • Participate in monthly staff meetings and special events organized by S.I.S.A.
  • Other administrative responsibilities as assigned by the Executive Director and/or Managers.

3. Building Maintenance

Primary Duties and Responsibilities

  • Perform preventative and predictive maintenance on premises. Inspect the Premises daily, identify any repairs needed, perform repairs yourself if able to, if not inform the management about a professional handy service required.
  • Lock and secure premises daily
  • Respond to emergency situations during and after hours for the purpose of resolving immediate safety concerns
  • Perform daily custodian duties at the premises and the reception house of the organization.
  • Perform all lawn care duties at SISA Reception House (Lawn mowing and Snow removal)
  • Perform inspection of the premises and ensure that any hazardous conditions are immediately taken care of
  • Coordinate licensed inspections as required
  • Conduct routine, non-licensed inspections of facilities including fire equipment, water sewer.
  • Coordinate major maintenance and repairs as required to mechanical systems, HVAC systems, as well as, replacing bulbs as needed
  • Assist and monitor construction or remodeling projects
  • Meet evening/weekend casual facilitators in order to allow them in the building and lock-up the building once they’re done
  • Secure safe access to premises by removing snow around the two buildings sidewalk, except for the parking lot, latest by 8:00 am
  • General Maintenance and small repairs, such as repairing locks, carpentry, painting, etc., for the purpose of ensuring a safe working condition
  • Perform other related duties as assigned for the purpose of ensuring efficient and effective functioning of the work unit
